Vacancy – Personal Assistant to the Ambassador

Position status: full time, Monday to Friday
Salary: NIS 8,500 to 9,500 per month (dependent on relevant
experience and demonstrated skill)

Applications are invited for the above position in the Administrative Section of the Australian Embassy, Tel Aviv. The hours of this position are Monday to Thursday 0800 to 1630 and Friday 0800 to 1300.
The duties of the position and application requirements are listed below. All applicants should ensure that their application addresses the criteria. Applications that do not meet the criteria set out under the heading “Application requirements” will not be considered for interview.
Process
Applications should be directed by email only to claudia.barsha@dfat.gov.au and must be received by the Embassy before 1630 on 14 June. Late applications will not be considered.
The Embassy will not acknowledge receipt of applications. Progress of applications will be notified on the Embassy’s website. Any applicants who are interviewed will be advised of the final outcome.
Unsuccessful applicants who rate highly in this employment process may be considered for employment with the Embassy should another similar position become vacant within the next 6 to 9 months.
The Embassy will establish a Selection Advisory Committee to assess applications, conduct interviews, check references and prepare a report for the Ambassador recommending the most suitable applicant.
Applicants are advised to pay close attention to the duty statement and selection criteria when preparing their application. The Selection Advisory Committee will shortlist applicants for interview based on the information provided in the applications it receives.
Duty statement
As HOM assistant:
• manage Ambassador’s program, including through organising appointments and assisting with logistics
• manage correspondence, including with Israeli Government agencies and other Embassies
• assist with organising representation events, including liaison with catering companies
• prepare Ambassador’s quarterly representational returns
• develop and maintain a range of cultural and media contacts
• assist in organisation of visits of Australian dignitaries and delegations
• some translation from Hebrew into English and assistance with monitoring Israeli media
As assistant public diplomacy officer:
• assist Third Secretary in developing and executing Embassy’s public diplomacy program
• maintain files on speeches, events, publications and CVs
• some translation from Hebrew into English
Application requirements
Candidates should include the following documentation in their application:
1. Curriculum vitae (resume) in English, containing:
a. Personal information, including address and telephone contact details
b. Residency/employment status in Israel
c. Summary of employment history
2. Statement supporting the Selection Criteria (set out below).
a. This should be a written statement in English, addressing each of the selection criteria (maximum of two pages in total for the statement of claims).
b. Applications that do not address the selection criteria will not be considered for interview.
Selection Criteria
1. Demonstrated ability to manage a Senior Executive’s appointments program.
2. Experience with coordinating events and/or visits.
3. Excellent oral and written communication skills in both English and Hebrew and the ability to negotiate, liaise and consult with a wide range of contacts.
4. Demonstrated ability to solve problems and complete administrative tasks in a timely manner with close attention to detail.
5. Ability to work as part of a team and act quickly and flexibly in response to emerging or unexpected events and adapt to changing work priorities.
6. Extensive experience using standard Microsoft Office applications.
Position requirements
The successful applicant will also need to:
• Be eligible to work as a locally engaged staff member at a diplomatic mission in Israel.
• Satisfactorily meet the Embassy’s security vetting requirements.
